The College of Islamic Studies (CIS) was founded as a hub for contemporary Islamic studies, fostering intellectual discourse on Islam within a global framework. Offering ten graduate and postgraduate programs, CIS prepares students for careers in academia, research, as well as cultural, business, and finance sectors through specialized tracks. It also hosts renowned research centers and clusters, facilitating interdisciplinary dialogue and scholarship. CIS integrates academic Islamic principles with modern social sciences, emphasizing collaboration, innovation, and scholarship.
HBKU’s College of Islamic Studies is seeking applications for the position of Academic Affairs Specialist - Arabic Program. The candidate will be responsible for developing, planning, overseeing, and executing the administrative tasks of the Arabic Language program in CIS, promoting the college’s vision in both Arabic and English languages.
- Organize workshops, symposiums, seminars, or webinars in collaboration with CIS departments, program collaborators, and professional associations to share expertise, exchange knowledge, and create a platform for academic discourse and Arabic program visibility.
- Manage unit calendars, ensuring optimal scheduling of meetings, appointments, and availability of classroom resources for faculty members.
- Organize and participate in meetings with relevant stakeholders to keep the Program’s activities on track, as well as prepare essential meeting materials such as agendas, minutes, and presentations, ensuring accuracy and completeness.
- Prepare and review reports, documents, and correspondence related to Education programs for the Digital team to publish ensuring clarity, correctness, and adherence to established standards.
- Collaborate with the Provost's Office in successfully managing the admissions process and maintaining optimal enrollment for Education Programs.
- Act as the primary point of contact for escalated email and phone inquiries, resolving issues and directing queries and requests to the appropriate individuals within the department, including students and faculty.
- Manage both electronic and physical files and records for the department, including student information and other pertinent documents, ensuring compliance with relevant regulations and standards.
- Oversee the administrative functioning of the program and proactively identify and address evolving administrative needs and requirements of students and teachers, providing guidance, support, and innovative solutions as necessary.
- In collaboration with the Digital Media team, review and update advertisements and promotional materials on social media platforms and the department's website, ensuring accuracy, relevance, and adherence to branding guidelines.
- Develop engaging content and campaigns to promote departmental activities, events, and initiatives and coordinate the necessary with HBKU Communications.
- Foster a supportive and engaging environment for students in the program by providing required administrative support to students and faculty.
- Develop and maintain strong relationships with key partners, schools, school leaders, educational institutions, and industry contacts to enhance the program’s reputation and strong academic achievement and presence.
- Monitor the performance of the Program by designing feedback forms, and surveys to provide regular status updates and recommendations to stakeholders.
- Advise and assist program management with decision-making and problem-solving by identifying and resolving issues or constraints promptly.
- Explore avenues for faculty and student contributions to publications affiliated with these professional associations, enhancing the program's academic visibility.
- Collaborate with faculty management, schools, educational institutions, school leaders, educators, and academics to establish effective communication channels and build professional relationships in favor of the program.
- Act as a focal point with the students of the Program and ensure that their academic needs & expectations from the program are met.
- Ensure and plan effective financial management of the program in collaboration with the CIS departments.
- Other reasonable tasks as assigned by the supervisor.
- Bachelor’s degree, in Administration, Social Sciences, Business Management, or a related field, is required- a master’s degree is preferred.
- 6-8 years of relevant full-time work experience.
- Background and familiarity with Islamic Studies and Arabic Language and an appreciation for its cultural and academic context.
- Demonstrated leadership in project management and coordination.
- Knowledge and experience in academic administration processes, supporting curriculum development, and program coordination.
- Excellent writing skills with the ability to draft and edit a variety of written reports and communications and to articulate ideas clearly and concisely; Arabic proficiency is required.
- Proficiency in MS Office applications.
