HBKU's Executive Education Center (EEC) is the university’s executive education wing responsible for creating impactful learning journeys for executive participants in both the public and private sectors in Qatar, the Gulf region, and further afield.
The EEC leverages HBKU’s tremendous faculty and professional body to design class-leading programs for stakeholder organizations and deploys solutions in collaboration with its partners within Qatar Foundation’s Education City ecosystem and other internationally renowned institutions.
HBKU’s Executive Education Center (EEC) is seeking applications for the position of Program Coordinator. The applicant will coordinate with Executive Education Center (EEC) stakeholders to organize high-level executive education programs and ensure the efficient and professional delivery of these programs at Hamad Bin Khalifa University (HBKU).
- Oversee and coordinate the execution of EEC programs and organize related events, ensuring smooth operation and alignment with the center’s objectives.
- Work closely with EEC program delivery suppliers to ensure efficient logistics support for both programs and events.
- Collaborate with stakeholders to plan program content, schedule, and logistics, ensuring alignment with EEC and the overall HBKU’s strategic vision and goals.
- Oversee the implementation and deployment of programs, ensuring all logistical, administrative, and content-related aspects are executed effectively.
- Evaluate program effectiveness and gather feedback by conducting lesson-learned sessions to make data-driven recommendations for future program enhancements and innovations.
- Support the programs development manager with managing the end-to-end organization of programs, including curriculum development, session planning, and resource allocation.
- Monitor and track expenses against the allocated budget, providing timely reports to management as needed.
- Prepare and support EEC management with all necessary financial and non-financial reports required for program execution.
- Provide continuous administrative support to facilitate the delivery of EEC programs.
- Handle registration processes, intranet accounts, hotel reservations, and flight bookings for both participants and suppliers.
- Facilitate interactions with participants and faculty before, during, and after events or programs.
- Coordinate communications with EEC clients and stakeholders, including governmental, non-governmental, and private sector entities in Qatar and the region.
- Support the Programs Development Manager with the design and development of executive education programs, ensuring content and format meet the needs of the target audience and align with EEC objectives.
- Other reasonable tasks as assigned by the supervisor.
- Bachelor’s degree in a relevant field.
- 2-5 years of full-time work experience in program coordination/administration in the education or training field.
- Excellent presentation and organizational skills with attention to detail and client services.
- A good team player with a high ability to work under pressure.
- Fluent in Arabic, English verbal, and written skills.
- Excellent writing skills with the ability to draft and edit a variety of written reports and communications and to articulate ideas clearly and concisely; Arabic proficiency is an advantage.
- Proficiency in MS Office applications.
