HBKU’s Employee Relations Service deals with the following Government Affairs services:
New Employees Arriving in Qatar with their Families
If you are an employee who has arrived together with your family and you all hold permanent entry visas, you as an employee will need to undergo a medical examination and fingerprint registration first (before your family). After your Qatari ID is issued, the medical examination and fingerprint registration will also apply to your spouse and any children aged 15 and above. Children who are 14 years old and below are exempt from this clearance process, and their Qatari IDs may be issued directly after yours and your spouse’s (wife’s) QIDs have been issued.
For this process, you will need to submit the following to HBKU HR:
In case of pregnancy, you will be exempt from the chest X-ray and will have to undergo a skin tuberculin test instead, which will have to be done and booked separately three days after the blood test and a physical examination.
The Ministry of Interior allows individuals and companies in Qatar to renew residence permits online for one to three years. The service is available on Qatar Ministry of Interior’s mobile phone app, Metrash2. To renew the Qatar ID of your sponsored dependents, click here.
The following should be submitted to HBKU HR to begin the Qatari ID issuance process for family members after your Qatari ID has been issued:
The above must be submitted as one separate file for each family member. This will ensure all documents, particularly the photo, are assigned and attached to the correct passport and visa.
Qatari ID processing is subject to a fit medical examination and successful fingerprint registration. If you have a wife who is pregnant, she will be exempt from the chest X-ray and will have to undergo a skin tuberculin test instead, which will have to be done and booked separately three days after the blood test and physical examination.
In case of pending medical clearance and fingerprint registration, a repetition of the process will be required until results are finalized.
Residents wishing to bring their family members to stay in Qatar may submit a family residence visa request to the Ministry of Interior (MOI) through Metrash2 to get the approval of the MOI Permanent Committee. To apply for a permanent visa, click here. for initial steps.
Residents can apply for a short-term family visit visa for their families to enter Qatar. The visa is valid for one month. However, relatives who wish to stay beyond one month may undergo a physical examination within the first 72 hours of arrival to apply for an extension.
The visa can be extended subject to the Ministry of Interior’s latest visa policy.

There is an automated process to file reimbursement requests for expenses incurred in immigration-related transactions for QF-sponsored employee dependents.
The function is available via the ERP fusion system through the employee’s personal access. The process is as follows: ERP Login > Under Me > Immigration Expense Reimbursement > Create request.
The reimbursement is subject to relevant HR policies and employee eligibility. The basic immigration transactions can be processed via the Metrash2 app for the ERP-approved dependents for which they can file reimbursement claims.
S/N | IMMIGRATION EXPENSE TYPE |
---|---|
1 | QID renewal |
2 | QID transfer to new passport |
3 | QID cancellation |
4 | HMC health card renewal |
Should employees experience technical difficulties when raising the expense claim, their designated HR focal point may submit the request on their behalf.
Please refer to the below Metrash2 and ERP Immigration expense reimbursement guide for ease of reference. For further queries, issues or concerns, please contact the IT Service Center at itsupport@qf.org.qa or phone 4454 0070.
